Self check-in for hotels and holiday rentals
A delayed flight, a midnight arrival, an apartment with no front desk. Self check-in lets guests in at any hour, provided the process is thought through from start to finish.
The guest's journey
- Before arrival: they receive a link to complete their details and, where relevant, pay.
- Verification: the property validates the booking and documents.
- Credential: they receive a code, a mobile key or key safe instructions.
- Arrival: they open the building entrance, the car park and their room or apartment.
- Stay: access works only for their dates.
- Departure: the credential expires automatically.
Ways to deliver access
- Numeric code on a keypad lock: the most universal, needing no app or phone battery.
- Mobile key: convenient, but dependent on the guest's phone.
- Kiosk at reception that issues the card: common in hotels.
- Key safe: the most basic option, with no log or expiry.
Don't forget the shared doors
The most common mistake is sorting out the apartment door and forgetting the building entrance, the car park or a key-operated lift. The same code or credential should open the whole route.
Guest registration
Identifying and registering guests is subject to legal requirements. The self check-in system must allow you to meet them; always check the current regulations for your type of accommodation.
Integration with bookings
Ideally the lock receives the dates directly from the booking system or channel manager, so the code is created and expires on its own. Compatibility depends on each platform.
What if something fails
- No internet: codes already programmed must keep working locally.
- Batteries: early warning and emergency power.
- A guest who can't get in: a support number and remote unlocking.
- A backup mechanical key, kept securely.
What the property gains
- Arrivals at any hour with no staff on site.
- No keys to hand over, lose or copy.
- An entry log and alerts.
- Coordination with cleaning: staff codes and a departure alert.
The human side
Self check-in shouldn't mean feeling abandoned. Clear instructions with photos, in several languages, a welcome message and a contact who answers make the difference in reviews.
Frequently asked questions
Is it safe to send a code by message?
Yes, if the code is unique to that booking and only works during the stay. Afterwards it's no longer valid.
Does it suit a hotel with a front desk?
Yes. Many hotels offer it as an option for late arrivals or to cut queues, while keeping reception.
