Hotel telephony
In a hotel, the phone connects guests to the front desk and staff to each other. A well-designed IP phone system improves service and cuts missed calls.
The pieces
- Room phones, simple, with direct keys to reception, the restaurant or room service.
- Front desk with several lines, queues and overflow to another desk or a DECT handset when busy.
- Staff on DECT: housekeeping, maintenance, security and kitchen, reachable throughout the building.
- Welcome menu in several languages for outside callers: bookings, restaurant, events.
Common features
- Automatic wake-up calls set from the front desk.
- Optional restriction of outside calls from rooms.
- Voicemail per room.
- Emergency calls always allowed.
Integration
Many phone systems can integrate with the hotel's property management system (PMS) to show the guest's name on check-in, enable the line or log calls. It depends on the PMS and the phone system: we check each case.
Network and continuity
Room phones sit on a voice VLAN, separate from guest WiFi, and the phone system and network are on UPS so the front desk keeps working during an outage.
Frequently asked questions
Are room phones still needed?
Many guests use their mobile, but the room phone is still the quickest way to reach the front desk and matters in emergencies. Some hotels combine it with messaging or an app.
