A missed call can be a lost booking or a lost customer. With an IP phone system, call handling is designed, not improvised.

Welcome menu

A short message that routes the call: "for bookings, press 1; accounts, press 2". In Andorra it's worth offering it in several languages. A few clear options beat a long menu.

Groups and queues

  • Ring group: several phones ring at once or in turn.
  • Queue: if everyone is busy, the caller waits with a message and is answered in order.
  • Overflow: if nobody answers within a set time, the call moves to another group, a mobile or voicemail.

Hours and holidays

The phone system switches automatically between open hours, closed hours and holidays: an information message, a diversion to the on-call person, or voicemail sent by email.

Measure to improve

Statistics show how many calls are missed, at what times and how long callers wait. With that data, you can adjust shifts and groups.

Calling back

A shared missed-call list, or an email alert, makes it easy to call back quickly. Some phone systems can connect to the CRM to show who's calling.
