How it works
A password manager stores every login encrypted in a "vault" unlocked with one master password. It generates long, unique passwords for each service and fills them in automatically in the browser and on the phone.
Why a business needs one
- Controlled sharing: online banking, supplier portals or social media logins are shared by group, never by email.
- Joiners and leavers: when someone leaves, their access is removed and you know which passwords to change.
- A different password per service: if one website is breached, other accounts stay safe.
- Two-factor codes: many managers can store them too.
Open source options
There are open source password managers you can host on your own server, such as Bitwarden, or Vaultwarden, a server compatible with the Bitwarden apps. They work on desktop, mobile and in the browser.

- Import existing passwords and get rid of the spreadsheets.
- Turn on two-factor authentication for the vault.
